Reports to: Director of Campaign Operations & Donor Relations

Status: Full-time, non-exempt

Position Location: In office (not eligible for remote work)

Salary Range: $50,000 - $55,000

The Greensboro Jewish Federation builds community among the Jewish people of Greensboro, assuring continuity from generation to generation. Recognizing that each Jew is responsible, one for another, the Federation promotes the welfare of the Jewish people in our community, in Israel, and worldwide. Locally, the Federation offers programming, networking and social events, scholarships and grants; brokers community relations; advocates for Israel; and organizes city-wide religious observances and celebrations.

Summary:

The Senior Administrative Assistant, Program and Fundraising provides a variety of administrative support to the Federation’s Campaign and Programming Staff teams and the Chief Executive Officer and is an integral member of the Campaign and Events team.

Job Duties:

Campaign Administration

  • Assist with the planning, organization and execution of all Campaign-related activities and events, including on-site registration and money collection.
  • Print and organize all pledge cards for the campaign cycle for solicitations, events, and Telethons.
  • Salesforce data entry and record keeping for Campaign-related events, pledges and acknowledgements.
    Includes maintaining accurate donor information, adding and updating donor contact information, notes or other relevant donor information in Salesforce.
    Produce basic reports in Salesforce, such as mailing lists and address labels as requested by the Campaign Team.
  • Responsible for sending Annual Campaign thank you notes and assisting Campaign Chairs with personal thank you notes.
  • Attend and take minutes of Campaign Committee meetings, when requested.
  • Assist with donor follow-up calls, outreach, and make solicitation calls and appointments, as requested.
  • Assist with all affinity groups (including Cardozo Society, Women’s Philanthropy, Young Adult Division, Maimonides Society, and Ignite)
    Monitor event registration, manage CLE credits with NC Bar Association, order/set-up meals, event setup and breakdown, name tags, event lists.
    Administer Lion and Pomegranate pin reward program by maintaining spreadsheets, campaign pin manual, ordering pins and updating pins. Includes donor outreach and compilation of Women’s philanthropy welcome information.

Programs and Services Support

  • Assist with event coordination, management, registration and on-site needs for outreach and engagement events (e.g. Triad Jewish Film Festival, PJ Library, G-FLI, social events, educational and cultural events, community-wide programming, Partnership2Gether).
  • Provide administrative and clerical support for all outreach and engagement programs, including Salesforce data entry for program participants.
  • Manage Shalom Baby program by preparing and mailing a care package for new babies, JNF tree, and updating Salesforce record.
  • Support Newcomers program by preparing and distributing newcomer’s packets.

Executive Administrative Responsibilities

  • Provide administrative and executive support for the Chief Executive Officer. This includes correspondence; meeting announcements, invitations and RSVPs; event support (room set-up, catering, A/V and IT set-up); and special guest coordination, as needed.
  • Attend and take minutes for Executive Committee, Leadership Roundtable, and Board of Trustees meetings.
  • Execute special projects on behalf of the CEO when requested.
  • Assist CEO with execution of the GJF Annual Meeting, including site logistics, agenda, coordinating data from various departments for program, and ordering awards/gifts, as needed.

Missions

  • Provide administrative support for all Greensboro Jewish Federation missions through participant record keeping, collection of pertinent information, participant assistance with registration and/or payments and serving as point of contact with travel companies.

General

  • As an essential part of the GJF Administrative Team, serve as backup receptionist when needed.
  • Other duties, as assigned or needed, based on the needs of the organization.
  • Weekend and evening availability, as needed. Flex time encouraged to compensate for weekend and evening work.

QUALIFICATIONS

  • Working knowledge of Microsoft Windows Products, Salesforce, Zoom, Teams, calendar scheduling apps, general secretarial, record keeping and organizational skills.
  • Telephone courtesy, people skills and creativity a must.
  • Shows initiative, enthusiasm, cooperation and energy when working as a member of the “staff team” with the myriad of Federation volunteers, staff and tasks.
  • Ensures strict confidentiality and professionalism of the agency.
  • Must be detail-oriented and flexible with the ability to switch between high-focus tasks during the workday and complete multiple projects during the work week.
  • Bachelor’s degree preferred.
